Document-only migration: starting at $2,500
This is helpful if you already have your cases in Filevine, or as an add-on to a Spreadsheet Import.
Manual migration: $0
Ideal for small teams with less than 100 active cases to migrate to Filevine. We train your team on how to enter your cases and move documents manually. Copying and pasting the field and dragging the top-level folder into the Docs section takes an average of 15 minutes per case. The downside is that this is a manual process for your team—but the upside is that it’s a chance to correct your data and get very familiar with Filevine in the process.
What to knowHow the data migration process works
The process begins with a scoping call to understand what needs to be migrated, and, more importantly, how extensively the legacy platform(s) used, and how many sections and fields need to be scripted for migration. This can be done in a 25-minute call where the client shares their screen and walks through a couple of example cases.
The migration process includes mapping, scripting, testing, and go-live. We’re happy to share more about it on our scoping call.
Why work with a U.S.-based migration team?
-
The United States has stringent data protection laws, such as the Health Insurance Portability and Accountability Act (HIPAA), the Gramm-Leach-Bliley Act (GLBA), and the California Consumer Privacy Act (CCPA). By keeping data migrations within the U.S., organizations can ensure compliance with these regulations, reducing the risk of data breaches and legal consequences.
-
Keeping data migrations within the U.S. allows organizations to control their data more. They can establish and enforce strict access controls and data handling procedures to safeguard sensitive information.
-
Working with a U.S.-based data migration team provides better quality and reliability compared to outsourcing overseas.
-
Outsourcing data migrations overseas introduces additional risks, such as data exposure to foreign entities and differences in data protection standards. Keeping data operations within the U.S. can mitigate these risks and provide better data integrity and confidentiality assurance.
-
Having data migration operations within the U.S. enables easier access to support services and legal recourse in case of issues or disputes. Local vendors are subject to U.S. laws and regulations, which can give organizations more leverage and protection in case of contractual breaches or service failures.
Optional migration plan add-ons
These options may be added to Core and Complete Migration Plans.
You may have additional migration needs beyond what’s included in our standard Migration Plans. We have flexible options available and are here to help.

Historical financial data includes all active and closed projects for which invoices have been paid and are therefore part of the case’s financial history. Requires scoping to verify data format and that projects/matters can be associated with the legacy system.
The platforms below are supported for Core and Complete migrations. Different platform? Not a problem. Let’s have a quick scoping call. If your legacy CRM does not provide a database backup, which is common for many cloud-based CRM solutions, we partner with Universal Migrator. We can then use an admin login to extract a copy of the database for you.

Migration FAQs
-
Clients will assist with and participate in the migration process. Clients are responsible for providing their data, either in spreadsheet, database format, or for some cloud-based systems an admin login can be used. Clients will also help in reviewing the field mapping and test migrations to confirm everything is moving over as expected prior to go live.
-
Core and complete migrations require the client to request a database backup from the legacy system provider or an admin login to your cloud provider. Our data migration team will provide instructions for uploading that database to an Amazon S3 bucket, and the client will be responsible for uploading the data.
-
Once each section of your Filevine project template is completed and signed off on, we will start mapping the data fields from the legacy system to Filevine. During mapping, we will align your existing data with the appropriate fields in Filevine. This will be a collaborative effort, and someone from your team familiar with your legacy system data will need to participate in working sessions with our data migration engineer.
-
After completing the mapping process, the client will be provided an opportunity to review their data and documents in a test environment. The test environment is a staging org that mirrors the production org where the final migration will be completed. This will allow the client to review and confirm the accuracy of the data as it will look inside Filevine at launch. This is a critical step in the launch process. The client must thoroughly and carefully review the test to ensure the data is in the proper fields. There may be multiple iterations of testing until the accuracy of the data is approved by the client.
