Scan once, file automatically
Print a QR code routing page for each project and scan your mail behind it. Every document arrives at the correct Filevine project as a PDF, with a date and time stamp in the filename.
Scanned the blank side of the routing page, or forgot it entirely? The document goes to your Filevine mailroom instead, where you can review it and move it to the right project. No mail gets missed.
Manage new mail with reports
Every scan is tagged with #smartMailroom, making it easy to build a Filevine report showing all incoming mail.
From there, rename documents, assign tasks, and take action without leaving Filevine. When a document is handled, tag it #done and it drops off the report. There's no third-party dashboard to log into. Everything happens inside Filevine.
Use scanners you already own
Smart Mailroom works with any scanner that scans to email: large office printers, multi-function devices, and desktop scanners. Just configure them to send to the custom email address we provide.
Behind the scenes, scans are delivered through the Filevine API rather than the project email address, so documents arrive instantly. The whole solution is 100% cloud-based.

There are no limits or extra charges on the number of documents or pages you scan using our Smart Mailroom.
Each PDF can be up to 50MB, enough for roughly 1,000 pages per scan.
